HDM, a digitization leader in the furniture and wood industry

Herencia del Mueble, also known by the acronym HDM, is a Costa Rican company dedicated to the design and manufacture of custom furniture, for furnishing and decoration projects in wood, for all types of properties. With more than 20 years of experience in the market, the company has an extensive portfolio of customers from various sectors, including construction, hotel chains, and companies specializing in hospitality and food.

 

Although its main headquarters is located in the city of Cartago, Herencia del Mueble has recently broadened its horizons to other Latin American markets, including Panama and the Dominican Republic, and is soon to include the U.S. A stage of expansion that, together with the increased volume of business generated in recent years, has encouraged the company’s management to seek new ways to optimize its organizational management system, that was based on work methods that were not adapted to digital environments and didn’t foster collaboration.

Managing any kind of company, organization or institution involves defining a business management system that encompasses its objectives and corporate DNA. Indeed, this is the only way to achieve proper planning, organization, automation and control of the different internal and external tasks, activities and elements that make up the organizational ecosystem.

 

Faced with this situation, Ami Kahana, manager of Internal Processes at HDM, began an internal audit to find out in detail how the company was organized. Kahana wanted to know about all the stages that made up each business process, which departments were involved, and what the communication channels used by the human teams were in each area. Once all this information was collected and analyzed, a “mapping” of all the processes was made, with their respective tasks, activities and people involved, to be subsequently submitted for approval by the HDM’s management team.

 

After receiving approval from senior management, the next step was to find a software platform that could automate all business processes. During the period of searching and comparing technological solutions, HDM’s general manager, Roy Ramírez, had a meeting with a friend and independent technology consultant, a former Microsoft employee, who recommended the AuraQuantic platform. Shortly after, he decided to contact AuraQuantic’s partner in Costa Rica, Global Professional Group (GPG), to discuss the company’s specific needs and analyze how the platform could help them with their project. After the initial contact, the HDM management team unanimously agreed on selecting AuraQuantic as their technological solution, because of its potential to automate processes and its capacity to integrate with all kinds of applications, including the ERP used by the company.

 

Currently, of the five main business process modules that HDM incorporates, the first one implemented in AuraQuantic, is furnishing project quotations. This process will be followed by the remaining processes, which are planning, production, installation and closing.

 

According to Kahana, “AuraQuantic has made it possible to build and define workflows, with different actions and tasks, which are entrusted to the different members of the work team by means of notifications. In addition, “the possibility of integrating with other applications through connectors covers any additional needs that may arise in the company”. For all these reasons, he concludes, “AuraQuantic is the most complete solution on the market when it comes to organizing and automating all business processes, from start to finish”.

 

With its sights set on the future, HDM wants to continue improving its automated processes. One example is by incorporating the calculation tables generated during the quotation process into the platform, which will allow correlations between furniture data and costs to be established. It is also planned to incorporate QR codes to improve product traceability and optimize inventory management in the warehouse.

 

Finally, the company’s management team is considering the possibility of making this technological solution available to other companies once all the processes have been automated and optimized with AuraQuantic. The high customization capabilities offered by AuraQuantic have allowed HDM to “create” a process automation software, adapted to any company specialized in the furniture and wood sector. A factor that, according to Kahana, would satisfy “the need for technification of the industrial fabric of Costa Rica, which remains eminently traditional”.
