Tips for a successful process management implementation

Blog: AuraQuantic Blog

Process management is one of the most effective business organization methodologies. The implementation of Business Process Management (BPM) platforms will help to control material, financial, human and technological resources, but many companies face hurdles along this journey. In this post we are going to divulge some key tips to overcome the obstacles and carry out a successful BPM implementation.

Define the scope of the project and priorities

One of the first things to do is to identify the numerous processes that take place in the different departments of the company (human resources, financial, sales, marketing…). Then we classify these processes according to their cost and number of people affected. This will help to determine where to begin. In this phase, it is important to consider which processes will have the biggest impact and greater benefits, but it is also advisable to start with simple processes so that the organization gets used to the new way of working and gains experience before tackling those of greater complexity. The degree of risk and its strategic value are also important factors to take into account.

Implementation phases

Once we have selected the processes to include in the project, we need to establish the implementation times. The most interesting methodology is to choose a few processes with short delivery times so that the company sees gradual results and understands how the BPM implementation evolves and improves process management.

Management support

The implementation of a BPM, which involves the management of processes in different areas, must be led by senior management to ensure that the necessary budgets and resources are available. The necessary resources include the work team with specific training if necessary and the appropriate hardware and software. The choice of software is vital for the good development of the project.

Required resources

All BPMs have some common characteristics such as modeling and workflow definition, form editors, connectivity, integration and process monitoring. But if we want to go a step further and provide intelligence to our processes, we need to turn to intelligent BPM suites (iBPMS) which, in addition to the previous features, incorporate real simulations and statistics, users and roles, document and content management, intelligent analysis and more.

Documentation

The entire project must be duly documented. A document should contain a detailed account of how the functionalities and activities involved in the project are going to be carried out.

Finally, we must remember that BPM systems provide great value to companies, but organizations must have the necessary conditions in place to achieve success. A clear vision and strong leadership are essential to drive digital transformation in your company.
