Saipem shifts to cloud document management to manage global energy projects

For more than 65 years, Saipem has been working with clients around the world to deliver engineering and construction services for the oil and gas industry. Today, we’re strengthening our focus on innovative low-carbon-emitting technologies, including offshore wind, undersea robotics, and many more.
To carry out large-scale construction projects safely and effectively, collaboration is essential. We aim to empower our thousands of employees around the world to work together seamlessly with hundreds of clients, vendors, and subcontractors. But when you consider that some of our teams are based in remote locations, such as offshore drilling platforms, that’s no simple task.
Many years ago, we realized we needed a better way to share information securely and reliably across the entire business. That search led us to deploy OpenText Documentum Content Management (CM).
We originally chose the OpenText solution because it allows us to offer secure access to key information anywhere in the world—even on vessels in the middle of the ocean. Fast forward 20 years, and it has proved a great investment.
Building streamlined document management workflows
Over the years, we used the OpenText Documentum case management framework to build automated workflows on top of OpenText Documentum CM. For example, we use the solution to help streamline our internal review and approval processes for engineering drawings so we can release them to our clients and partners. We’ve also tightly integrated data from OpenText Documentum CM with other key applications from SAP, Microsoft, Salesforce, and our quality management system.
As the amount of custom code in document management software grew, so did the complexity of managing and maintaining the solution. We were already moving to as-a-service solutions in other parts of the business, so we decided to modernize our content management platform too. Our goals included higher performance, availability, and cost-effectiveness. And by moving to the latest version of OpenText Documentum CM, we also wanted to make it easier to incorporate next-generation AI capabilities into the solution.
Bringing document management to the cloud
Because OpenText Documentum CM is a mission-critical system, we couldn’t take any chances when it came to unplanned downtime or data loss. So, we decided to engage expert partners to help us navigate the project smoothly.
To help us configure the new cloud document management platform, we partnered with system integration consultants at Accenture. And when it came to upgrading and refactoring our OpenText Documentum CM environment for the cloud, no one was better placed to assist us than OpenText Professional Services.
Reducing spend by 30% and preparing for an AI-driven future
Today, we’re reaping the benefits of OpenText Documentum CM in the cloud. The new architecture is ultra efficient, which has reduced our operational costs for the platform by 30%. While our total number of OpenText Documentum CM instances is smaller, performance is much higher: we’ve measured a greater than 50% improvement in response times for end users in our “PAGE” document management solution. To cap it off, stability is much better, too. We’ve seen the number of support tickets we receive drop by 90%—and most of the ones we receive now relate to connectivity issues, not technical hitches with the solution itself.
It's a very exciting time to work at Saipem. Our teams are pioneering advances in many types of low-carbon-emitting technologies, and we want to provide them with all the tools they need to innovate. For that reason, we’re very interested in incorporating generative AI capabilities from OpenText Content Aviator into OpenText Documentum CM, which will enable our employees to use natural language to find, analyze, and summarize key information.
