Every organization, regardless of its size or business area, has to coordinate employees’ vacation request. This process is ideal to be automated because it takes place every year and the same information is always needed.

Our Process Template Vacation Request is available to be imported in Flokzu. It will help you create and evaluate vacation requests. The template’s form includes the following fields:

You can customize these fields to adapt them to the reality of your organization. For example, you might need to add a new field to enter the total amount of days, the name of the supervisor, etc.

In this template, everybody can create a new vacation request. If you wish, you can change this setting in the “Process Settings” tab.

In the same tab you can define general readers (those who can view this process’ documents at any stage or once the process is completed). The Document Creator was set to be a “Reader when completed”. This way, if the request gets rejected, the employee can view the reason stated in the “Evaluation” field. In every individual vacation request, the document creator is the person who creates the request.

The User Task “Evaluate Vacation Request” was assigned to “All Users”. You can restrict this to some users. For instance, the HR Department might be in charge of evaluating vacation requests. In that case, you can create a “HR” Role and assign it to this task.
