INCAE has made its campuses 100% safe, using the AuraQuantic low-code platform for process automation and the creation of applications to improve services. Thanks to the control measures implemented, INCAE students, teachers, and collaborators consider their business school a COVID-19 safe zone.

INCAE Business School, an acronym for the Central American Institute of Business Administration, is an international business school located on the Francisco de Sola campus in Nicaragua, and the Walter Kissling Gam campus in Costa Rica. The Financial Times has ranked INCAE as a global MBA program, and The Wall Street Journal has ranked INCAE Business School as one of the top 10 international business schools in the world. The school was founded by Harvard Business School in 1964 and, while independent, adheres to Harvard’s methods and curriculum.

The campuses are regularly frequented by students, lecturers, suppliers and visitors in general. This created the need for strict control over daily entrance. Prior to the implementation of the new automated processes, a manual procedure was established, supported by video calling, messaging and email technologies. The security personnel supervising the entrance controlled who was authorized to enter by referring to a list. This generated different problems, such as not having the updated list, or granting entry to essential and non-essential personnel, who did not have prior authorization. This motivated continuous communications from the security area, in order to confirm the authorization to gain entry to the campus.

With the new automated procedure, in addition
to the use of the previous technologies for internal communication and with
visitors, suppliers and collaborators, a process was implemented to record all
the relevant data of each person who entered the campus, ensure compliance with
all safety and prevention measures when entering and leaving the campus, and in
the event of any incident, it guarantees the correct and timely notification to
all persons who could have been infected and to the relevant authorities.

The procedure begins with a formal visit request using an AuraQuantic digital form. Said request is approved or denied by the corresponding campus security committee and, when approved, a series of notifications are sent, practically in real time, to the visitor, the campus security committee, the people and departments involved in the visit, and at the same time, a report is generated about the visit so that the security personnel can consult said report, and validate access to the people involved.

Once the visit is approved, the visitor and the applicant automatically receive an email containing a personalized document automatically generated by AuraQuantic, which details the access information and security and prevention measures that they must adhere to during the visit. With this tool, INCAE security has a checklist of compliance with the protocols recommended by INCAE’s occupational health team, in conjunction with the Ministry of Health of Costa Rica, and a complete tracking tool, in case of a positive case of COVID-19, which will help prevent the spread of the infection.

The implementation of this procedure has been simple and fast, about four weeks from planning to execution, and with a high impact on the operation of INCAE.
