How to Prepare Your Business for any Crisis?

Blog: NASSCOM Official Blog

The ongoing coronavirus outbreak is one of the most pressing topics for everyone. While you might be aware of the ways to protect yourself and others from being infected or preventing the spread of COVID-19, there’s more when it comes to protecting your business.

Apart from the current pandemic, there are many types of disasters, such as fire, flood, or a hurricane, from which businesses need to protect themselves. Let’s explore some of the measures that you can follow to make sure that your business continues to operate regardless of the situation.
Maintaining customer support

Customer service is crucial for customers to get in contact with your businesses whenever they want. Hence, it is important to maintain uninterrupted customer support, irrespective of the situation you are in. The following are some of the measures to maintain effective customer support service during struggling times:

Use video conferencing apps to contact your clients in place of in-person meetings. This will allow both you and your clients to safely interact.
To share information regarding the latest updates about your products or services, host a webinar to inform your customers without requiring them to attend face-to-face training.

If your clients can’t send you the necessary information by mail, provide them with alternate options to share the documents. It is recommended not to send confidential information over email, instead share it through secure services that use end-to-end encryption.

Conducting training sessions

Many conferences have been canceled to prevent the spread of the coronavirus. However, you can still find online webinars to stay updated on the latest news and technological advancements in your industry. In addition to such webinars, you can also download eBooks and how-to guides to gain knowledge related to your topics of interest. To encourage knowledge-sharing, you can take notes and share it with your team, and ask them to do the same.

Overcoming issues while working from home

Most countries around the world are enforcing lockdown to maintain social distancing, and consequently, companies are advised to recommend their employees to work from home. If you are one of such businesses who have asked their staff to work from home, here are some of the measures to overcome some of the most common challenges.

To prevent getting distracted, set up a dedicated area, or even a dedicated room as your home office. Make sure that you only have the important things with you, such as your laptop, pens/pencils, a notebook, and a headphone for video conferencing.

Set a specific time to work, if you can continue your usual work-timing like 9-5, keep it up. Also, take regular breaks as you would do in the office.

Create a plan for smooth functioning

Even if you decide to run your business from home, it is important to have a plan to ensure that everything runs smoothly. First, inform all your staff that team meetings will continue over teleconferencing apps. Upload all the important documents, client files, working papers to the cloud, giving everyone access even when they work from home.

Use an instant messaging app like Slack to ensure that all your employees can communicate with each other. If you are running a small business, a WhatsApp group is a good alternative option. To manage projects, work collaboratively, and keep up with the workflow, use project management software. This also allows you to maintain productivity, and make sure that all your employees are on the same page and are not missing deadlines.
