Flokzu meets Zapier – HowTo [updated]

Flokzu meets Zapier to make your processes even more powerful! Combine your workflows with more than 500 apps. Find the tools you use every day and integrate them with your processes. Take automation to the next level and avoid duplicating work (which takes up time and can lead to mistakes). Note: This feature is only available for organizations subscribed to a Standard or Premium plan.

 

What is Zapier

In case you haven’t hear of Zapier, it lets you easily connect web apps (like Salesforce, Dropbox, Gmail and Flokzu) to move info between them automatically. You can connect apps (a.k.a. make a ‘Zap’) by selecting one as the trigger (which provides information) and the other one as the action (which does something with that information). Read more about Zapier here.

 

Flokzu meets Zapier – HowTo

Zapier integration in Flokzu works with your processes.

There are two ways of integrating Flokzu to Zapier:

  1. Using Flokzu as the Trigger App: Trigger something in one of your apps at any given stage of one of your processes in Flokzu. Imagine getting notified of new deliveries approved in Flokzu with a Twilio SMS message.
  2. Using Flokzu as the Action App: Create a new process instance in Flokzu every time something happens in one of your apps. Imagine automatically initiating a process in Flokzu every time you receive an email in Gmail.

 

In both cases you’ll need to generate an API Key in Flokzu (one time only) to be able to connect it to Zapier. Just follow these steps:

  1. Sign up to Flokzu
  2. Go to ‘Configuration’ > ‘Advanced’ and then click the refresh button next to the API Key Field as shown below.

4. Save the configuration to activate the API Key


NOTE: Flokzu is still in Beta phase in Zapier. That means the app in not globally available yet. However in this link you’ll find the invitation to start using the app in Zapier right away.


 

Whether you use Flokzu as the trigger or action app, you’ll have to connect it to Zapier (also one time only). You can do that by visiting ‘Connected Accounts’ in Zapier and creating the connection to Flokzu or by creating the connection directly when setting up the Zap.

In the Pop-Up window, you have to put your Flokzu username (email address) and the generated API Key. Then click ‘Yes, continue’.

Using Flokzu as the Trigger

When using Flokzu as the trigger you can send all the information stored in the Document at a certain stage of one of your processes. In Zapier you can choose ‘AllFields’, ‘AllComments’ and ‘AllFiles (.zip)’ in addition to each field separately, so it will be easier for you to send all the information over.

To use Flokzu as the trigger in one of your Zaps, you have to include a Zapier Integration box in the exact step of your workflow that you want to create the trigger.

On Flokzu:

  1. Open your process
  2.  Go to the ‘Process Workflow’ tab
  3.  Drag and drop a ‘Service Task’ into your workflow
  4. In the pop-up, choose Zapier
  5. Click ‘Accept’
  6. Link your new Zapier Invocation to the rest of your workflow
  7. Deploy your process

On Zapier:

  1. Create a new Zap
  2. Choose Flokzu as the Trigger App
  3. Choose ‘Zapier Service Task Invocation’
  4. Click ‘Save + Continue’
  5. Connect your Account (or click ‘Continue’ if already connected)
  6. Choose the process in which you’ve placed the Zapier Service Task
  7. Click ‘Continue’
  8. Click ‘Fetch and Continue’ to get an example
  9. Set up the Action App

 

 

Using Flokzu as the Action

In Zapier:

  1. Set up the Trigger App
  2. Choose Flokzu as the Action App
  3. Select ‘Create Document’ as the Flokzu Action
  4. Click ‘Save + Continue’
  5. Connect your Account (or click ‘Continue’ if already connected)
  6. Choose the process you want to initiate

7. Match the information received from the trigger with the Document fields
